Issues

Tech Comptabilité is a CPA accounting firm based in Saint-Lambert, Canada, offering consulting and bookkeeping services for businesses.

At the time of our meeting, the Tech Comptabilité  team wanted to improve the use of their Hubspot CRM, as well as explore the possibilities for automating some of the repetitive tasks they had to do when they won a new bookkeeping mandate.

The CRM had been configured in-house to the best of their knowledge, but it wasn't being used to its full potential, and many of the tool's main functions were being ignored.The team was using several high-performance software applications for their management, such as Karbon HQ, QuickBooks, Evernote and Airtable, but these weren't integrated together.

They had to manually update information between the different applications.

Project Goals

Tech Comptabilité's goal was to improve the monitoring of their opportunities and, above all, to have better visibility of their performance indicators without having to calculate them all manually. They wanted to increase their productivity while maintaining easy-to-use tools.

  • Better use of CRM: an easy-to-use CRM that gives them real benefits, not just more work to do
  • Productivity enhancement: take advantage of this project to explore possibilities for improvement

Subsequently, we created reports in the CRM to allow for easy and quick analysis of the sales situation at Hoffman.

Strategy

We began our mandate by mapping the team's sales process and reviewing the use and configuration of the Hubspot CRM.

We suggested migrating to an easier-to-use CRM like Pipedrive to facilitate the use of this important tool and to limit the licensing costs that were going to be higher with the original solution.

After configuring the new CRM, we imported the existing Hubspot and Airtable data into Pipedrive, and once the CRM configuration was complete, we automated all the steps involved in starting up their customer project so that they were automatically set up when they won an opportunity in their Pipedrive CRM:

  • Create a contact in QuickBooks or update it if it already exists
  • Create the customer project in Karbon HQ from a template‍
  • Create a contact in Karbon HQ or update it if it already exists
  • Create the project and its information in Airtable‍
  • Create the project in Evernote from a template‍
  • Create the customer folder in Google Drive

Results

Following this CRM optimization phase, the Tech Comptabilité team reaped several benefits:

  • Productivity gains through better organization and task automation
  • Visibility of their sales process
  • Better reporting of opportunities, revenues and closing rates

This means they can focus on business development rather than sales-related administrative tasks, while facilitating the flow of information to operations.
